Feature description

Managing Clients

In the PGM system, you can manage individual clients' accounts - members and guests, as well as corporate clients' accounts.

You can easily check and edit Member profile, add, freeze, upgrade, auto-renew and cancel Contracts, review manual Transactions, POS Transactions and online Product and Contract Transactions, as well as add Documents to the member's account. Learn more.

You are also able to monitor members' Bookings and Visits in clubs and communicate with them by use of SMS and e-mail messages, directly from their profile.

Another useful feature is the ability to transfer members between different clubs within the same business chain, cease their Contracts, or define levels and skills, which may be significant in case they participate in Personal Training or Courses. Learn more.

The PGM system also allows you to add and manage Corporate clients. This module requires the usage of a specific type of Payment Plan and payment flow. For those who would like to benefit from this solution to the fullest, a dedicated platform - B2B Portal - has been created. By using it, your business partners can manage their members' accounts on their own. Learn more.

Finance and Payments

The PGM system enables the usage of various payment methods, including automated recurring payments with credit cards or direct debit. You can use different payment providers, generate and send payment links directly to your club members via email or SMS. Learn more.

The invoicing process is a must-have in any type of business. In the PGM, it can be manual or automated, depending on your preferences. Invoices are easily accessible by the club from the Member Profile, and to the members, from the Client Portal. The system allows for corrections and customization of the Invoice template. You can also automatically notify members of upcoming invoices. Learn more.

As we understand the complexity of financial operations that you might have been facing, the PGM system also covers the Refund and Debt Collection solutions. By using these modules, you will be able to swiftly track overdue payments, take action, and stay in contact with debtors at every stage of the payment collection process. Learn more about Refunds and Debt collection.

Dashboards and Reports

There are two key tools that you can use for tracking members' activity, retention, financial, and sales data. By use of over one hundred Reports, you can gain an in-depth insight into your business. If you want to see the key numbers quicker, you may also personalize the Dashboard Widgets and display them on your PGM home page. Learn more about Dashboard widgets and Reports.

Sale

Within the PGM, you can create different types of Memberships, which will define the members' Contract Fees, the Contract Scope, and the Rules according to which they can Access the club(s). If a need arises, you can use the Freeze option on a single or mass Contract. This way, the Membership could be continued or prolonged by the Freeze period, so that the retention has stayed intact. Moreover, you can provide Contract Discounts to make your offer more attractive to certain groups of clients. Learn more.

Additionally, you can increase the monthly revenue per member by offering Contract Extras in the form of Products or Services, i.e. granting access to additional club zones, using Towel service or VIP Classes. Learn more.

There are several types of Products which may help you expand your club offer. You may sell a single service as well as multiple services, e.g. Personal Training sessions, one-time club entries, swimming lessons, or specific items like food, beverage, or supplements, and make them easy to purchase by defining the multi-channel option. It is also possible to create start packages for new members. Equally to Contract Discounts, you may create a specific Product Discount to support your sale targets and obtain new members. Learn more.

In the PGM, you can effectively control the Warehouse Inventory of all Products sold. The Warehouse module not only provides the tools for the current verification of Warehouse supplies and stock but also determines the supply of a specific Product and efficient control of the Warehouse's documents. Learn more.

Booking

Regardless of the type and size of your business, in the PGM system, there are several options for effective management of bookings of various types of events, from standard Timetable with Group Classes, through one-to-one Personal Training sessions to the more complex Facility and Courses management. Learn more about Booking on POSweb and Booking on ClientPortal.

You can create different types of Classes, e.g. Classes included in Memberships or additionally paid, and apply Settings like a standby list, defining the number of participants in each Class or restricting cancellation time. By doing so, you can execute your business goals and strategic objectives. Learn more.

Automation

If you want to create a fully automated communication strategy and keep in close touch with your club members, use the Automation rules. This way, you can send a custom-branded Welcome e-mail to newly joining members, remind them about Class bookings and changes in the Timetable, or their enrollment to the standby list for a popular Class upon a place becoming available. You can also notify members of any outstanding payment, or credit card expiry date, or create a Debt collection process based on an Automation rule. All of that can be automated and effortless and sent through diverse communication channels: e-mail, SMS, and Push notifications. Learn more.

Marketing

The PGM system allows you to send one-time, manually created Newsletters. You can use them whenever you need to reach out to a single club member or in case you want to address a given group of members, from a list you have prepared in advance. If you want to share updates on changes in club opening hours, new or special offers, changes in terms and conditions, or any other unique event, then Newsletter is what you need. Again, you can choose your favourite communication channel: e-mail, SMS, or push notification. Learn more.

To make your club offer attractive, the PGM system offers you the possibility of creating voucher campaigns. There are two options to choose from. Either, creating a Voucher available during an on-site sale only, or generating a code that can be further used by members. Such codes can be generated automatically by the system or defined manually. They can be used by both, members and new joiners. Also, they can allow either to add a new Contract, pay for the Contract, apply Discounts, or give a specific Product or Prepaid amount. Learn more.

Club and Employees Management

The PGM system allows managing all your clubs by use of one database only. It is beneficial for international, large-scale fitness chains as well as for several- or single-location businesses. Learn more.

If your clubs include multiple zones or facilities, you may prepare your offer to resemble such zones and facilities and connect them with specific Access Rules determined within Membership types. Learn more.

Managing Employees is another feature that enables you to define customized system permissions and assign access to different parts of the system depending on each employee's position. More information.

System Settings and Support Tools

You can adjust the PGM system to your needs and tailor its features, from adding limitations to class booking and customizing registration flow by changes in member data form to larger-scale changes in particular applications. The system settings give you also the possibility to create user agreements or translate your database and customer-faced applications to resemble your business more. More information.

The Support Tools allow for performing mass changes on Contracts, (i.e. Freezes), making balance corrections, self-migrations of users or employees or previews of receipts. More information.
